PT Member Manager (MM) is a complete system for managing your chapter's membership. In addition to the usual information (such as name, address, phone number, email address, etc.), MM keeps track of membership status, personal interests, contributions, RSVP history, and more. What makes MM really shine is its varied and sophisticated reports such as membership cards, applications, nametags, attendance worksheets, rosters, birthday lists, etc. All of these features are accessible within an easy-to-use interface.

mm-main

The program supports chapters of any size.  Each member is listed on individual rolodex-style cards.  You can keep track of individual financial contributions, dues, and donations.  You can also record each member's personal interest, such as those who enjoy playing cards, going on trips, etc.  It also makes organizing your board members a snap!

Where MM shines is its reporting capabilities.  You can create address labels, envelopes, applications, monthly social check-in lists, rosters, membership cards, birthday lists, and so much more.  All of these reports can be fine tuned to display only the information that you need, such as mailing labels only for members who have not yet paid dues.  All within an easy-to-use interface.

Best of all, PT Member Manager is free to use for all chapters.  All that you need is a Windows computer running Windows XP, 7, 8, 10, or higher.

How to create

You must have an account on Facebook for yourself as the main administrator. The Group is a list of linked folks who are attached to your account but need not be your friends. While you are logged into your account, make sure you are on your home page. Look at the left menu and some distance down you will find the Create Groups. Click on it.

A window will open entitled Create New Groups. Give your group a complete and unique name. Add yourself as a member, and make it a Closed Group. There are three privacy options. Think carefully about the environment where your club operates and select the level of privacy your group desires.

Then hit the button at the bottom that says create groups.

Does your chapter need a way of keeping track of people who attend your events and activities?  PT Event Manager (EM) is the answer!  EM is a complete system for managing attendees to your chapter's events, such as local events, regional events, and even worldwide conventions. It records attendee demographic information, payment information, event features (t-shirts, meals, excursions), and much more. A variety of useful reports are available such as sophisticated nametags, check-in lists, registration forms. All of these features are accessible with an easy-to-use interface.

The program is flexible enough to support any of your events, no matter how different they are.  You can use it to record attendance to pool parties, pig roasts, annual celebrations, and much more.  EM builds a collection of attendees as you record events, making it easy to invite attendees to future events.  It remembers which events an attendee has attended over time, including personalized details that person chose for each event (meal preferences, activity choices, etc.).  That way you can plan future events based on previous attendee preferences.

reports2Where EM shines is its reporting capabilities.  You can create address labels, check-in lists, envelopes, event registration estimates, name tags, event feature lists (for tallying and ordering t-shirts, for instance), registration forms, and more.  All of these reports can be fine tuned to display only the information that you need, such as mailing labels only for event staff.  And if you need to create your own reports, EM can export attendee information to Excel.

Your chapter's logo is the "face" of your chapter; it is one of the first things that new people remember when they think about your website. It is important to have a logo that is attractive, memorable, and uniquely represents your chapter's place in Prime Timers Worldwide. An old or poorly designed logo can lower your chapter's reputation.

PTWW can provide a logo for your chapter. You are provided with multiple sizes of the logo, from a small logo used for correspondence to a large logo that will fit on a parade banner. You are also provided with the original PhotoShop design file so that you can tweak the logo to suit your needs.

Yes, we are nosy! Seriously, let us know of your chapter's activities, accomplishments, and experiences. Not only can other members discover and find interest in your chapter, but it gives them ideas on how to offer similar activities in their own chapters. If you are travelling, this is a good resource for connecting with Prime Timers members and partaking in chapter activities during your journeys.

Many of us enjoy reading about others' personal experiences, even more so when these stories relate to our own lives in gay society.  Just as likely, we have our own interesting stories to tell, stories which other Prime Timers would find meaningful and uplifting.

Prime Timers would like to provide an opportunity for you to express yourself and be heard.  We have reserved an area of the website for creative works contributed by you, our members.  Fiction, non-fiction, personal experiences, poems, observations, artistic works (including paintings, photos, audio, and video works) are all welcome.  You are encouraged to contribute anything that other members would find interesting, meaningful, and enriching through your contributions.

Using Technology presentation

Starting our St. Louis Chapter of Prime Timers in June 2007 was made so much easier thanks to the great guidance of Michael Stone and the extremely helpful guidelines developed by Woody Baldwin. I would like to pass on some useful tools and tips that have helped us to simplify the daily operation of our Chapter's business, keep our members informed, increase membership, keep expenses to a minimum and ensure a seamless transition of Board leadership in the future.

Discover ways that easy-to-use and free/low-cost technology can help to keep your members connected and informed, increase membership, and make managing your Chapter easier and more efficient. This panel discussion will include the use of Google Voice, web-monitored mail boxes, creative e-mail applications, online surveys, user groups, Square, Facebook, Skype, You Tube, QR codes and more. Topics will also include the importance of establishing policies and guidelines, privacy and security, and special considerations for non-technical members. During the Q&A session, attendees will be encouraged to share additional ways their Chapters have successfully used technology.

Virtually Yours - How PTWW Can Strengthen Your Chapter's Online Presence

by Tom Hammond

Presented at the 2013 Prime Timers Worldwide Convention, Columbus Ohio

This workshop reveals the myriad of online services that PTWW provides to chapters. The three major areas of discussion are new chapter website design services, existing website hosting services, and how to upload content to the PTWW website to promote your chapter.

If your chapter needs a website to attract new members and support existing ones (or if your current website is due for a face lift), we offer website building services based on an attractive, flexible template with many useful chapter features built-in. No special software is required to maintain your new website; everything can be done from a web browser. Free, unlimited support is provided via e-mail, telephone, remote sessions, and online self-help materials. In this workshop, you will find everything you need to know to get started with a quality website provided by PTWW.

Does your chapter already have a website? Paying a hosting company can cost a chapter $100-$200 per year. PTWW can host your chapter's existing website for free on our high-speed, business class hosting platform. You can even create a new website using design software of your own choosing, and then host it on our server. This workshop explains the process to easily migrate your website to PTWW.

Do you know that the PTWW website offers numerous ways to promote your chapter to the world? You can upload chapter news & announcements, articles, calendar events, newsletters, contact information, memorials, and much more. Members are notified of your postings through the PTWW mailing list. There is an online store to purchase PTWW branded promotional products as well as a downloadable electronic logo (chapter logo design services are also available). This workshop shows how you can upload content to the PTWW website for visitors and members to find out more about your chapter.

Through this workshop, PTWW can help your chapter create a strong online presence to attract new members and support existing ones. Everyone is welcome; the workshop is presented in an easy-to-understand format.

In addition to the PTWW Prime Times newsletters that are posted on www.primetimersww.com, the website also features a chapter newsletter archive to chronicle your chapter’s activities.

If any of our 8,000 members are planning to visit or move to your area, having such publications easily accessible from a central location can tell folks about your chapter, who to contact, when and where to attend activities, etc. It is also good exposure to potential members who live in your area and are just learning about Prime Timers for the first time.
